Constant Contact Click-Through Data Analysis

image0081In a follow-up to Downloading Constant Contact Click-Through Data, this article shows how Analytics Edge can easily turn the raw downloaded data into meaningful analytics without a lot of work or confusing formulas. Looking at the raw download, we notice several things that need to be dealt with: the dates are in a strange format, it contains multiple clicks to the same link from the same person, and the links themselves are identified only by a meaningless link id number.

Automated Email Campaign Reporting

With the latest release of the add-in, they are taking the leap to fully automated custom reporting. You can, too! This article describes the updated (and completely free) Branded Agency Report workbook that can be used as a template for your own reporting solution.

analytics-edge-macroThe Analytics Edge Core Add-in runs on a Windows PC inside Microsoft Excel, and it comes with a number of optional connectors, including one for Constant Contact.

The add-in uses a simple wizard interface to automate the tedious download and transformation steps needed to update or refresh a report workbook with results from the latest email campaign.

New functionality in the Core Add-in and Constant Contact Connector allows you to process multiple campaigns, save the results to separate workbooks or PDF files, send them as email attachments, and even schedule the whole thing to run overnight!

How It’s Done

The report lets you enter a number of Constant Contact accounts in a worksheet. When it runs, it will process all email campaigns sent in the past few days and send the results to a specified email address. You enter the number of days and email address to use for each account.

There are two Analytics Edge automation ‘macros’: one to get the account information needed, and the second to process each campaign for that account.

Account Information

setup-worksheet-referenceThe main macro loads the list of account names, email addresses and number of days from a setup worksheet. In a production deployment, you would move this setup worksheet to a separate workbook so there is no chance the information in it (a list of your clients) would end up as part of a report. The first wizard function in the macro is the only reference to this worksheet, so it can easily be changed.

That first function wizard causes the rest of the macro to repeat for each row in the list of accounts. In the very next step, it writes out the row to a hidden worksheet. This is how the main macro passes information to the other macro.

The rest of the macro gets the general account information, including the full name of the account for display purposes, a list of the email campaigns sent in the past number of days, and all the contact email addresses with the contact list they are associated with. All this information is written to hidden worksheets for use by the second macro.

The very last step runs the second macro. Because the Run Macro function is part of the first macro, and because the first macro repeats for each account, the second macro will read different account information from the hidden worksheets each time it runs.

Processing Email Campaign Results

hidden-worksheetOn one of the hidden worksheets, the first macro had populated the login account to use, the email address to send the report to, and the number of days in the reporting period. It also grabbed the full account (organization) name and the list of campaigns that were sent in the reporting period.

We start the second macro very much like the first; setting it up to repeat for each campaign in the list. The rest of the macro is adapted from the previous branded agency report, which was designed to report on a single campaign.

save-email-workbookThe last step saves a copy of the workbook and sends it as an email attachment to the address provided. When configuring the wizard for this step, we use Analytics Edge ‘range names’ (similar to Excel range names) so that the file name, message and email address will all use components of the account’s organization name, the name/subject line of the specific email campaign being reported, and the date it was sent.

The result is that each email campaign report is saved to a unique file and attached to an email — all automatically!

Customizing for Production Use

All Analytics Edge free reports are completely open and easily customized to your unique reporting needs. This particular workbook uses a placeholder logo image that is easily replaced.

As mentioned above, it is strongly recommended that you move the _setup worksheet to a separate workbook to avoid sending your customers’ email addresses as part of your report workbook.

If you are looking for different metrics in the reports, the wide array of Analytics Edge wizard functions make it easy to manipulate and transform data from Constant Contact as well as a number of other sources. Just ask for help.

Getting Started with the Constant Contact Connector

Installation and Activation

To get started with Analytics Edge and the Constant Contact connector, you need to install and register the Analytics Edge Basic Add-in or the Analytics Edge Core Add-in. Then the Constant Contact connector needs to be installed — it will automatically activate a 30 day trial for you.

Constant Contact Account Wizard

ribbonOpen the Constant ContactAccounts wizard from the Analytics Edge  ribbon bar. All of the connector wizards are available from a drop-down menu that appears when you click the connector’s button.

The button may appear as a large square, or it may appear as a wide button as shown in the image.

 

Constant Contact Login

On the Accounts wizard, enter a name for the account and click the Add Account button. Note that the account name does not have to match your login account — it is used to identify the account in Analytics Edge, so it should be meaningful to you.

A second dialog will confirm that you are allowing Analytics Edge to access your Constant Contact account.

The new account will be added to the list of Constant Contact Accounts and it will be tagged (*) as the default account to use.

Close the Accounts wizard.

Get A List of Recent Campaigns

Open the Constant ContactCampaigns wizard. By default, the wizard is configured to get all campaigns for the account.

You might want to limit the results to SENT campaigns, and only the most recent 10.

Click Finish to run the query.

From the results, we can see that each campaign has a unique id number.  To get details on a campaign, we need to use that id number to identify the campaign of interest.

Get Details For A Campaign

Now that you have the campaign id’s, you can get information about any of the campaigns: summary statistics, opens, clicks, bounces, etc. We can start with simply getting more information about the campaign itself, such as the subject line and summary statistics. To do this, we open the Constant ContactCampaigns wizard again, and select Get a campaign.

Either enter a campaign id from the list you had previously, or click the lookup export_icon&16 button to pop up a list that you can select a specific campaign. Click Finish to run the query. From the results we get  a lot of information about the campaign.

Information Available

The campaign details includes information about the campaign email itself, like subject, who it is from, the greeting used, and various other settings. It also includes tracking summary counts of sends, opens, clicks, etc. Finally, all the links being tracked in the campaign are included along with the link id (url_uid) number and count of clicks.

Option: Use a Cell Reference

To do this, click the cell reference top_left_expand_icon&16 button and select the worksheet cell where the id number is stored.  if you select a range of cells, only the first will be used.

Analytics Edge Core Add-in Users: Use a Range Name Option

With the Core Add-in, you can use the results of one query to drive the next by using a [Range Name] reference. If you want to use the campaign id’s from the “id” column of the previous query, enter “[id]” (without the quotes). Analytics Edge will get details for all of the campaigns listed in the “id” column; if you picked 10 campaigns in the previous query, it would make 10 queries and deliver 10 rows.

You can select a subset of columns that you want to keep using the TableArrange wizard. Use the By Name option to select the columns. You can also do other things like calculate Open Rate with the ColumnCalculate wizard.

Downloading Opens Details

You can download a detailed list of who opened a specific campaign using the Constant ContactCampaign Reports wizard.

Select opens and pick a campaign id, then click Finish. Using a limit of 0 will retrieve all of the opens for the campaign.

The results may include what appear to be duplicates, but they are actually individual contacts that have opened your email multiple times.

Analytics Edge Core Add-in Users: you can use the TableDuplicates wizard to get rid of the duplication, keeping the earliest open date/time.

You can download the bounces, clicks, forwards, sends and unsubscribes in a similar fashion.

Download Contact List

cc-get-contactsTo download all the contacts from Constant Contact, use the Contacts wizard, get contacts option. You should select the ACTIVE status so you don’t bother downloading the removed, unconfirmed or opt-out entries.

Note: large lists may take a long time to download.

Information Available

The contact list includes all the available information about the contacts as well as the lists that they belong to. Contacts are uniquely identified by an id number, and the lists are identified by the list id number.

 

Downloading Contact Activities

cc-contact-activitiesUsing the Contact Reports wizard you can look into the behaviour of specific contacts (identified by a contact id number). Caution: if you click the lookup export_icon&16 button, you will have to wait while the entire contact list is downloaded.

You can also get a summary by campaign, or individual types of activities like opens, sends or clicks.

Campaigns are identified by campaign id number. You will need to cross reference with the results of a campaigns query (above) to get information about which campaign is which.

Analytics Edge Core Add-in Users: you can use the Multiple Combine wizard to get the campaign name or subject line added to your results. The campaign_id column will need to be renamed ‘id’ using the Arrange wizard before the tables can be combined; they need to share a ‘key’ column.

 

Next Steps

You have all the basics to using the Constant Contact connector to download your campaign and contact data. You can also get information about the various Contact Lists you have in your account. That wizard works similarly to the Contacts wizard.

Although you can use the Analytics Edge Basic Add-in to download your data, you will find the calculations and lookups required to generate a finished report are much easier to perform with the Core Add-in functions.

Contact – Add Contacts

add-contactUse this wizard to add contacts to your Constant Contact account. This function is not fast and should only be used for small numbers of contact additions.

Action By – Selecting ACTION_BY_OWNER allows you to add contacts to your lists without triggering any autoresponders in your account. ACTION_BY_OWNER will trigger autoresponders and welcome messages if you have them.

Source of Data – requires use of the Analytics Edge Core Add-in to create an in-memory Table to use as a data source. The selected Analytics Edge Table should have columns similar to those you would get when downloading your contacts list with Analytics Edge.

Account Information

This wizard (actually the bottom of the Constant Contact Accounts wizard) is used to get information about a Constant Contact account you have authorized.

Select the account or reference a worksheet cell (click the button provided) where an account name has been entered, then click the Save button to save this function.

 

Build a Cohort Analysis

This article explains how to build a cohort analysis report in Excel using the Analytics Edge Core Add-in with the Constant Contact connector. Cohort Analysis lets you see how one group of subscribers behaves differently from another. A “cohort” is simply a group of people that share a common characteristic, such as the date they subscribed to your list, whether they clicked on a specific campaign, or those people that selected a particular interest in your signup form.

The first step is to assign each of your subscribers to a cohort — to create a look-up list of their email address and the cohort they belong to. One of the easiest cohorts to obtain is based on the date they were added to your list. If you download your Contacts list, the created_date is one of the columns. Use the Arrange wizard to keep the email address and date column — those are all we need.

To create a monthly cohort, use the Analytics Edge Convert wizard to change the created_date into a text string representing the year and month (format codes “yyyy-MM”). Save the results to a worksheet for later reference.

Collect Your Tracking Data

get-campaign-listThe next step is to get a list of all the emails that opened each of your campaigns over a period of time. Analytics Edge can automate this process. It starts with the Constant Contact connector downloading all the sent campaigns for the time period of interest.

Then, using a Repeat Macro, I get all of the Opens for each campaign and append them to a worksheet. Note that detailed open data for each campaign may include multiple opens by individual subscribers, so I use the Duplicates wizard to get rid of those extra ones. I am only interested if they opened the campaign, not how many times they opened it.

Combine the Worksheets

combine-the-worksheetsThe Opens data gives us campaign ids and emails, and I can use the Combine wizard to look up the cohort for each email from the Contacts worksheet.

Note that I used the Arrange wizard to rename the email address columns to match so that the Combine wizard could link the two on a common column name.

I now have a list of cohorts that opened each of my campaigns. Using the Duplicates wizard, I can collapse it all and get a Count column. While that is a nice summary, no one recognizes a campaign by its id number, so I use the Combine wizard again to get the campaign name and send (modified) date from the Campaigns worksheet.

Prepare for Presentation

The last step is to perform a Pivot operation, producing a table showing the number of opens for each cohort by campaign. It is best to Sort the data before the pivot operation so the rows and columns will appear in the desired order.

In my report, I wanted to show the date of the newsletters instead of their name or subject line. Here it what it looks like.

What Can You Do With A Cohort Analysis?

The final Cohort Analysis report is useful in a few ways: first, it lets you quickly see whether you have specific groups of subscribers (cohorts) that are more engaged with your emails. They are the ones that hold the number of readers over time. How did you attract those subscribers, and can you repeat the process?

Second, you could learn from the variation between campaigns. A great campaign will have better opens across all the cohorts, but you already knew it was a great campaign from the summary reports.

Finally, if you see one cohort more responsive to a particular campaign, there is an opportunity to learn what makes that cohort different from the rest, and can you leverage that knowledge in some way.

This is segmentation — the Holy Grail of email marketing. Cohort analysis makes it possible.

Revoking access

To gain access to your Constant Contact data, Analytics Edge obtains an “Oauth token” when you log in to your account through the connector (use the Add Account function on the Accounts Wizard).  Once that token is issued, you no longer need to log in with the account and password — the token is accepted all by itself.

Note that the account is still verified before use, so even if an oauth token is issued for an account/login, if that account is deactivated, the oauth tokens will fail.

If it is necessary to revoke a token, the only way to do this is to send a request to Constant Contact Web Services group (webservices@constantcontact.com) telling them to revoke all Oauth tokens issued to your account from the application “Analytics Edge Account Login”.

Campaigns

Analytics Edge will automatically make multiple queries to retrieve all of the campaigns, or you can limit it to just the most recent few by entering a limit number.

Account – you can select a specific account, use the * Default account, or use an Excel cell reference (click the button provided) top_left_expand_icon&16.

Limit – using a limit of 0 will download all campaigns for the account. You can limit the number by entering a value.

Status – you can download campaigns with a specific status. Typically people are interested only in campaigns that have been SENT.

Modified Since – If you are only interested in more recent campaigns, you can use this option to pick a start date or time period (relative to today).

Campaign Details

Update Summary – by default Constant Contact will return the last scheduled update, but you can get the most recent results by requesting to update the summary.

Accounts

accountsThis wizard is used to authorize Constant Contact login accounts to be used by the various queries.

One account can be designated as the Default account, and is identified by an asterisk (*).

Constant Contact Account Authorization

From the Analytics Edge ribbon menu, select the Constant Contact – Accounts menu.

Enter a reference name to identify this account, and click the Add Account button. Reference names can be anything, but should be a clear reminder of the account itself.

Log in to Constant Contact

Log in to your Constant Contact account and click the Log In button.

Click Grant Access

Click the Grant Access button on the confirmation screen.

Select the account you just created in the list and click the Make Default button.

Campaign Reports – Summary

Bulk Export Contacts

Constant Contact bulk export requests are “batch” operations – they are submitted and you need to wait for the report to run before you can download the results. This function will wait a period of time for the export to complete, checking every 5 seconds, and then will download the data when it is ready. If the operation takes too long, use the bulk activity status wizard to see when it finishes, then use the bulk activity download wizard to get the results.

Account – you can select a specific account, use the * Default account, or use an Excel cell reference (click the button provided) top_left_expand_icon&16.

List ID – enter a contact list id number or enter an Excel worksheet cell reference (use the button provided) top_left_expand_icon&16.

You can also use the popup list selection wizard to pick the list of interest export_icon&16. Select the list in the popup and click OK to get the list id.

Sort By – the downloaded file can be pre-sorted by email address or by descending date added. [2015-04-15 Constant Contact has confirmed the sort by email address option is reversed (z-to-a instead of a-to-z) and the descending date option does not work. These should start working properly when they fix their server]

Export Date Added – if you want the date that the contact was added to the list exported, check this box.

Export Added By – if you want to know how each contact was added to the list, check this box.

Column Names to Include – select the column names to include in your export. To select multiple columns, hold the Ctrl-key down while selecting items.

Bulk Export Status

Bulk Export Download

Activity ID – enter the activity id (or Excel cell reference) of the completed bulk export activity. Use the Bulk Export Status function to get the activity id number.
